Paflio Beta Terms

Effective September 15, 2026 · Beta

Paflio is operated by GKI Software Inc., Saskatchewan, Canada. These terms cover the Paflio beta website and web application. By creating an account, signing in, or using Paflio, you agree to these terms. Questions: info@paflio.com.

Using the beta

Paflio helps you capture documents, review extracted information, organize records by Workspace and Project, and prepare records for your bookkeeping workflow. Available features can change during the beta.

New eligible Solo accounts receive a 30-day free trial. No credit card or other payment method is required to start. A trial does not automatically enroll you in a paid subscription or authorize a charge. To continue adding or editing records after the trial, you must explicitly choose and purchase an available paid plan. We show its price, billing interval, applicable taxes, renewal and cancellation terms before purchase. Without a paid plan, permitted existing records may remain available to view and export according to account and Workspace permissions, retention and lawful restrictions. Current paid subscriptions and longer existing grants keep their agreed access; a change to the standard trial does not shorten them.

Paid purchase is available only when the account presents a working checkout. Displayed plan prices alone do not complete a purchase. For a billing, cancellation or refund question, contact info@paflio.com; we assess it under the terms presented at purchase and applicable requirements.

Paflio is still being developed. Features may change, be unavailable, or contain errors. Keep independent copies of important documents and check exported records before using them elsewhere. Paflio is not a substitute for the records you are legally required to maintain, and beta access is not a promise of permanent storage or uninterrupted availability.

Accounts and Workspace access

Keep your account information accurate and your sign-in access secure. Tell us promptly if you suspect unauthorized access. Connected features require an account and appropriate Workspace permissions.

When you create a Paflio business account, we may send one welcome email about getting started with Paflio in your browser. That account-related message does not enroll you in unrelated or ongoing marketing, identifies GKI Software Inc., and includes a way to unsubscribe from Paflio product and beta email.

Only access information you are authorized to use. If you act for a business or submit information about another person, you must have the authority and permissions needed to do so. Workspace access can change when membership or permissions change. Leaving a shared Workspace does not transfer its records to you or authorize you to delete them.

Your documents and other content

You retain ownership of the content you submit. You allow GKI Software Inc. and the providers we use to store, transmit, process, extract, display, synchronize, and export that content as needed to provide Paflio, handle support requests, and maintain the service. This permission does not transfer ownership of your content to us.

Submit only information needed for your intended use. Do not upload passwords, authentication codes, full payment-card credentials, government identity documents, or unrelated medical or other highly sensitive records. Where a receipt includes unnecessary sensitive information, remove it before uploading.

Do not use Paflio to commit fraud, infringe rights, invade privacy, distribute malicious files, bypass access controls, or disrupt the service. Technical limits and supported file types are shown or enforced in the product; future storage allowances and seat plans are not promised by these terms.

Review before relying on results

Automated extraction and classification can miss information or produce incorrect results. Check dates, names, amounts, taxes, categories, invoice details, and exports against the original documents. You remain responsible for the records you approve and the invoices or messages you send.

Paflio does not provide accounting, tax, legal, investment, or financial advice. It does not guarantee that a record or invoice satisfies a particular legal or tax requirement. Consult an appropriate professional when needed.

Cloud processing and sharing

Paflio uses cloud services. Uploaded documents and related information can leave your device for storage, synchronization, and automated processing. See the Privacy Policy for the data involved and how to contact us about it.

When you use an available invoice-delivery or sharing feature, check the recipient and attachments before sending. Recipients can retain or forward copies. Revoking a hosted link cannot recall a delivered email, downloaded file, or attachment.

Availability and ending access

After an unpaid trial expires, creating, editing, uploading and processing may stop while permitted view and export of existing records remain. A shared Workspace administrator, membership change, security restriction or lawful retention limit can affect which records you can access. Authorized users can export finalized record details as CSV. When required fields and originals are available, a separate ZIP export includes the CSV, a manifest and checked source files. A CSV alone does not include originals.

You can stop using the beta and contact us about exporting information or deleting your account. Records controlled by a shared Workspace may need to be handled with its administrator.

We may restrict affected access to address misuse, security risks, legal requirements, or service reliability. Where practicable, we will explain the restriction and how to contact us. If we discontinue the beta, we will provide notice and an opportunity to export accessible records where practicable, subject to security and legal restrictions.

The beta is provided as available. We do not guarantee error-free processing, uninterrupted service, or recovery of lost information. Nothing in these terms excludes rights, remedies, or obligations that cannot lawfully be excluded, including applicable privacy obligations. Beta status does not remove our responsibility for how we handle personal information.

Paflio materials and feedback

Paflio's software, branding, and service materials belong to GKI Software Inc. or its licensors. These terms do not transfer those rights. We may use feedback you voluntarily provide to improve Paflio; do not include confidential information that is unnecessary to explain the feedback.

Changes and contact

The September 5, 2026 beta terms remain available as a historical version for reference. This version does not retroactively reduce paid or longer-grant rights.

We will identify the effective date of published terms and give notice of material changes through the website, product, or an appropriate direct communication. Where consent is required, a notice alone will not replace it.
