A card charge tells you how much was spent, but often leaves out what was bought and why. Put the receipt or supplier invoice beside that charge while it is still easy to find. Then check the details before you hand a list to your bookkeeper.
A Canadian business-receipt routine
- Gather the source: save paper photos, emailed receipts and supplier PDFs in one intake place. Ask for a replacement copy when a slip is missing rather than inventing one.
- Confirm the record: read the supplier, date, items and total from the original. For a CAD purchase, confirm the currency and amount instead of relying on a card statement alone. If the receipt uses another currency, keep that distinction visible.
- Mark what needs judgment: note a mixed personal and business purchase, a refund, a duplicate photo or an unclear purpose. Leave tax treatment and expense classification for the person responsible for the books.
- Prepare the handoff: review the expense list and send the open questions with the format your bookkeeper requests. Keep originals available to the people who are authorized to inspect them.
A mixed-purchase example
A fictitious Saskatoon shop owner buys packaging supplies and a personal notebook on one CAD receipt. They save the full receipt, add a note about the packaging purchase and flag the notebook line. They do not delete that line or assume the full total is a business expense. At month end, the bookkeeper can see the question alongside the source.
Where Paflio fits
Paflio lets an authorized Workspace member add a receipt or supplier invoice, compare its details with the original in Review, and organize a reviewed Expense record in the Ledger. CAD is a supported record currency. The owner still checks ambiguous fields; Paflio does not decide deductibility, calculate a tax return or post to accounting software.
